To be professional secretary in future, you have to do (The important telecommunication):

1. Give the speaker the opportunity to explain his points of view.
2. Rapid complete of the work.
3. Speed in the transfer of information.

* Secretary and Telephone:
1. Ideal use of telephone.
2. Rules and protocol of:
– When you talk.
– At the request of others.
– When you reply to others.
3. The method of handling telephone calls.

* Factors that help to create good telephone personality are:

1. Good choice of word.
2. Correct pronuciation.
3. Voice.
4. Breath control.
5. The correct position to sit down.

* Use the telephone whenthe connection requset to others:

1. veify of the desired number.
2. Not to the speaker when the delay in reply.
3. Brief talk.
4. End the call politely turn down.
5. Enhance dial-up letter writing.

* Use the phone when you answer the call:

1. Answer the telephone rang upon hearing.
2. Tell you name and office.
3. Clearly accurately answer questions about the speaker.
4. In the absence of the president-leave a message to him.
5. Upon receipt of two phone calls at the same time-to apologize to one of them.
6. Who request a call who end it.
7. Do not divert all calls to the president.

* Use telephone while you talk:

– Speak up politely.
– Avoid more greeting.
– Talk on the speakerphone not around.
– Avoid the use of experssions like ( Hello, hear ).
– Do not anger while talking.
– Apologies for any delay.
– Do not eat and drink while talking.
– Listen to the speaker very well.
– Re-headset to the right place.

* Processing incoming calls:

1. Audit and take note of information.
2. Obtained from the speaker on the information.
3. Provide the speaker with information.
4. Sorting call.
5. Define yourself.
6. Speed and ready to recieve the call.

* Processing outgoing calls:

1. Take note of outgoing calls.
2. Self defintion.
3. Search for the desired number and request a call.
4. Planning call.
